Billable Time

The Billable Time tab is designed for businesses that charge clients by the amount of time devoted to certain tasks or projects. This feature enables you to document the hours worked with a detailed description and assign them to a specified customer. These entries can subsequently be effortlessly transformed into invoices.

To create new billable time, click on the New Billable Time button.

When you log new billable hours, they will automatically be marked as Uninvoiced. To invoice these hours, go to the Customers tab and click on the amount shown in the Uninvoiced column. From there, you can create a New Sales Invoice for the uninvoiced billable time.

If you don't plan to invoice for billable time, you can write it off. Simply click the Edit button, choose Written-off from the Status field, and then select the date it was written off. This action ensures your Balance Sheet report figures remain unchanged. When you record billable time, your billable time asset increases, and it decreases on the day the billable time is either written off or invoiced.

The Billable Time tab includes several columns.

There are following columns:

Date

The date when the billable work was performed. This date is used for tracking when services were provided and for reporting purposes.

Customer

The name of the customer to whom this billable time is charged.

Description

A detailed description of the work performed. This helps identify what services were provided and can be included on invoices.

Time spent

The duration of time spent on the billable work, displayed in hours and minutes format.

Division

The division or department to which this billable time is allocated for tracking and reporting purposes.

Amount

The total billable amount calculated by multiplying the time spent by the hourly rate. This represents the value of services to be invoiced.

Status

The status of billable time can fall into one of three categories: Uninvoiced, Invoiced, or Written-off. The Uninvoiced status shows that the billable time has not yet been linked to a Sales Invoice, indicating it hasn't been billed. When the status is Invoiced, it means that the billable time has been associated with a Sales Invoice, clearly showing that it has been billed. The Written-off status is used when the billable time hasn't been attached to any sales invoice and there are no plans to bill it in the future, essentially considering it as a write-off.

Click on the Edit columns button to select the columns you want to display.

Utilize Advanced Queries to apply filters, arrange, and categorize billable hours on the Billable Time screen.

Some businesses also record additional information about billable items. For instance, you could create a custom field to note the name of the staff member involved.
